Time sheet. Purpose, samples and example of filling in unified forms

According to the Labor Code of our country, Article 91 of Section IV, the worker's time is spent on the performance by a specific employee of his or her employment duties prescribed in the employment contract entered into between the employer and the employee. It is established that the working time is forty hours per week. Article 92 of Section IV of the LC RF regulates cases when an employee can work on a reduced working week. For the disabled of the first group and the second group, a working week of thirty-five hours is established. Those who are engaged in work in harmful (and other) working conditions work thirty-six hours. Article 93 provides for other options, where it is permitted to set a schedule for individual employees that permits a shorter working day.

For each staff member, the employer is obliged to take into account and record the time actually worked. An official (usually a member of the staff management service), whose functions include tabulation, conducts a uniform, established in our country, form of the time sheet. According to the records of the time-keeping account, the employee's salary is paid, the length of service is calculated, the annual (planned) paid leave is provided to the employee , and other rights of the employee are guaranteed. For those involved in overtime work, the accounting of spent time in excess of the established schedule of work is organized.

If we consider the time sheet according to the requirements of GOST R ISO 9001 (2008 edition), then it is a quality record, therefore, the organization must provide for each employee the identification, storage, recovery, protection, preservation and removal of records of time-keeping records. The employee has the right to request an extract from the report card of the structural subdivision in which he continues to work or worked previously. In addition, the employer, upon request, must issue an extract from the staffing table of the relevant structural unit of the organization, as well as a copy of the rules of the work schedule in force in the organization and a copy of the collective agreement that is in effect during the requested period . It is enough for an employee to submit a written application in order to obtain a time sheet, as well as extracts and copies of other documents. The definition of the terms "document" and "copy" should be interpreted as prescribed in GOST R 51141-98.

As regulated by part one of Article 62 of the TC, a written application must be granted no later than three days after the filing date, and official, certified copies are provided to the employee free of charge. The time sheet, as well as the schedule that establishes the number of staff, can be issued only personally to the employee for whom they were drafted. As for the rules and the contract, they refer to the documents of the general plan, therefore the employer must issue copies of the full documents.

The employer takes into account actually worked out by each employee of this organization time, filling out the report card in a single copy. All records relating to this account are maintained in a single unified form. The sample of the time sheet is regulated by forms No. T-12 and No. T-13, enacted by the Decision of the State Statistics Committee of our country (No. 1, approved on 05.01.04). According to the established procedure, the report card is used not only for records on the recording of working hours, but also for monitoring compliance with the requirements of regulatory and legislative acts on working hours and working hours, as well as for compiling statistical reports on work.

Both unified forms refer to the accounting records. They are related to issues related to the accounting of work and its payment, and differ in that in the first case in one document it is possible to take into account the actual hours worked and calculate labor remuneration, and in the second case, the form is used only for time-based accounting, Is carried out separately.
