Order on the appointment of the person in charge: the features of the creation and the rules for drawing up the document

The order to appoint a person in charge is one of the most important documents issued by the manager in the course of the production activity of the enterprise. Its creation is directly connected with the organization of the normal operation of the company and serves as one of the ways to solve specific production problems.

Purpose of the document

As you know, any order is a special legal act, based on the instruction of the leadership, which is mandatory for execution by a certain official. This document is intended to solve the operational and main tasks facing this organization. In this sense, the "Order on the appointment of a person in charge" is especially important. With its help it is possible to establish the work of the enterprise in a certain direction, by attracting individual specialists.

The purpose of the creation of this document is to increase the responsibility of specific employees to solve generally important production tasks. The order for the appointment of a person in charge is classified as a category of administrative documents. Depending on the specific field of activity, it can deal with the following issues:

  • Liability;
  • Fire safety;
  • Retraining and advanced training;
  • Occupational safety and health;
  • Turnover of expensive materials and valuables;
  • Use of sources of increased risk at work;
  • Turnover of securities.

The authority for the appointment of a certain responsible person, in addition to the head, also has the head of the department in which the employee works.

Structure of the order

The order to appoint a person in charge is made in an arbitrary form. There is no single unified form for this document. In principle, it is drawn up by analogy with the main orders for the core business and includes standard subsections that contain certain information:

  1. "A cap". At the top of the form is the full name of the company, its form of responsibility and the logo. Here, the place, date, title and registration number of the document are recorded.
  2. "Preamble". It is a description of the essence of the document and the purposes for which it was created. The information is presented concisely, literally in several sentences. In addition, the preamble may contain a list of individual regulations that served as the basis for the publication of this document. The subsection ends with the word "I order".
  3. "Body". It outlines the contents of the order and specifies the employee who is assigned the appropriate duties, and the one who will perform this work in his absence.
  4. "Conclusion" is the signature of the head and the familiarization with this order of the responsible persons.

When issuing this document, it is necessary to clearly indicate at what point it enters into force. In some cases, the range of tasks entrusted requires the conclusion of an additional agreement to an employment contract (contract) with this employee. All this must be noted in the order and executed before the appointed date.

Imposing responsibility for PB

As an example, you can consider a sample order for the appointment of a responsible person for compliance, for example, with fire safety in the enterprise. Such a document has standard subsections and is made out on a blank sheet of A4 paper or a letterhead.

When drafting it is necessary to rely on relevant laws and regulations (the Law on Fire Safety, the Technical Regulations of the PB, as well as other departmental documents and local acts of the enterprise itself). The main text of such an order should consist of three parts:

  1. The ascertaining. It usually begins with the words "to ensure" or "in connection with the conduct."
  2. Disposal. In its text the essence of the question is stated. First, a document is approved, on the basis of which the selected person will conduct his work. The next item after the word "appoint" indicates an employee who will do this.
  3. List of attached documents.

In the second part, the following duties of the chosen candidate must be listed without fail:

  • Holding briefings with employees;
  • Maintenance of relevant journals;
  • Check the status of jobs.

The order is signed by the manager and communicated to the relevant employee.

About reporting

In carrying out their functional duties, employees of the enterprise periodically report for the work performed to the appropriate authorities. To order this activity, it is necessary to issue an order. It will help to increase the responsibility of individual employees to the work entrusted to them.

The sample order for the designation of responsible persons for reporting is generally of a standard form and consists mainly of three items:

  1. Appointment of specific responsible persons. This part can be issued as a separate application, which lists the main information (the name of the reporting form, information about the place and terms of its provision, data on the performer).
  2. Laying of duties on the main specialists of the enterprise, which must ensure that their subordinates fulfill their assigned tasks.
  3. Instruction of the person who will monitor the relevant implementation of this order.

All employees mentioned in the document must be familiarized with it personally (against the signature).
