What is an extract from the order

Often there are situations when an official, an individual or some other organization needs a certain document for work, for example, an order. The original is usually not provided in such cases, since the original source may contain strictly confidential information constituting a commercial secret. And sometimes it's just not practical because it's too large and just does not need to work entirely. In this case, an extract is taken from him (the order) and executed accordingly. A new document will be called an "extract from the order".

Where may an extract be required

Various services of the enterprise are usually interconnected. That is why the documents of one unit can be useful to another for work. For example, accounting for the calculation of wages to employees necessarily require an order for the main activity. Or the personnel department for the registration of the personal file of the employee needs an extract from the order for employment. Also, a former employee who has lost his work record can apply to the staff. To confirm his work, he can request copies of documents on admission, all kinds of transfers and dismissal from work. In this case, the specialist must immediately provide him with all necessary documents within three days. For each fact a separate extract from the order is drawn up. Sometimes, statements are needed for another organization: a higher-level or supervisory organization, or to social protection agencies for processing a pension to an employee. Often such documents are prepared for submission to the court or the police in case of loss of documents. An extract from the order makes it possible to obtain the necessary information of the corresponding sample. There are many options.

How the document should look like

Upon receiving a request for information, young workers begin to ask how to issue an extract from the order. It turns out that this is not difficult at all. In fact, an extract is a regular copy of a part of the main document. There are no strict rules and rules for its compilation. However, the performer should adhere to a certain form. The extract is issued on a blank sheet of A4 format in the corner version by the "flag" method. It should consistently reflect 4 points:

1. Requisites. The initial part of the document completely copies the original, only instead of the word "order" it is necessary to write an extract from the order. "

2. Table of contents. The preamble of the main document is omitted, and only the part that is fully ascertaining it and the necessary fragment from the administrative part is copied. The item numbering used in the document is retained.

3. Signature. The full name of the post is mandatory, as well as the initials of the person who signed the order. The signature itself is not put.

4. Assurance. Since the extract is equivalent to a copy of the document, it must be surely assured. At the bottom of the sheet you should write "True", and just below indicate the position, the surname with the initials and the signature of the employee who made it. The date of document verification must also be present here. If an extract is provided at the request of another organization, the signature of the performer must be confirmed with a seal.

The generally accepted procedure for drawing up an extract from the document

The extract can be made up of any document (order, protocol, order). It is done at the request of the interested person (organization) and contains that part of the information contained in the main document, which is necessary for him for further work. Any agency or branch of the economy can establish its own sample of an extract, approve it with the appropriate normative act, and then use it in compliance with all established rules. Paper can be compiled for internal use, as well as for provision to other organizations on official requests.
