A good supplier is the key to the success of any enterprise

Any manager knows that a good supplier is a big rarity. Not everyone can cope with such work. And some even believe that the supply must be born or be in their souls.

Useful employee

In the structure of any enterprise there is a special service called the "supply department". Some consider it to be a regular unit, but this is not entirely true. In order to understand the essence of the problem, it is necessary first to understand who such suppliers are and why they are taken to the state? Everyone knows that for the production of any destination there should be three main components:

1) Raw materials and materials.

2) Equipment and other tools.

3) Labor power.

Each of them is equally important. So the supplier is the person who ensures the availability of the first component. Moreover, he is obliged to do this with the maximum benefit for the enterprise.

What is meant in this case? These are the principles that such an employee should adhere to. In fact, the supplier is an employee who provides his own enterprise with raw materials and materials:

  • As soon as possible (if necessary);
  • Concluding a contract at the lowest price;
  • In due time;
  • In the planned volume.

Hence it is clear that the supplier is one whose activities enable any company to work systematically, smoothly and at minimal cost. And this must necessarily lead to an increase in profits.

What should the supply man do?

The enterprise will only be able to work well when each employee knows and conscientiously fulfills the duties assigned to him. If it is clear with the employees of the main production, then the functions of the others must be clearly stipulated. Thus, the duties of the supplier include:

1) Preparation of procurement plans for various materials.

2) Conclusion of relevant contracts on behalf of or on behalf of the manager.

3) Ensure the timely delivery of goods to the territory of the enterprise.

4) Control of the integrity of the goods delivered.

5) Ensure availability of documentation necessary to confirm the quality of raw materials (certificate, passport or other document).

All work is carried out in stages:

  1. First, the supplier must draw up a work plan, based on the regulatory requirements of the enterprise. And each specific kind of material should be calculated separately. At the same time you need to decide on the desired quality.
  2. Then the moment of search of the partner comes. Here in the course are business trips and phone calls. From a large number of suppliers, one must choose the one whose conditions are preferred.
  3. After that the employee is sent to the partner for the conclusion of the contract.
  4. The final stage is the receipt of the goods, their delivery and delivery to the place of unloading. In parallel, the supplier is engaged in all the escort documents.

If each of the listed stages is correctly calculated and executed, then such a company will have everything that it takes to work. So, her employee is really in her place.

What is allowed to the supplier?

In order to properly carry out the assigned task, any employee needs to have more relevant information, as well as feasible assistance and support from management. That is why the "official" supplier contains not only duties, but also his rights, which should be sufficient for the normal organization of work. Among them, the main ones are:

1) The ability to request information from the employees of the relevant services. For example, the supplier must be aware of the plans of the enterprise, which are economists. He needs to understand the financial state of the company at the moment in order to be guided by purchasing prices.

He should know from the chief engineer about the availability of free transport in case of self-transportation organization.

2) In order to perform a specific task, the supplier sometimes needs assistance and direct assistance from the management. On the basis of the instruction, he has the right to demand it. For example, in order to make a prepayment, the supplier must be instructed by the chief accountant.

3) If in the course of the work any shortcomings have been revealed, he can make his proposals on their possible elimination.

Having such rights, a good specialist can always do his job in such a way that there are no claims to him from either the management or the workers of the main production.

Important points

Any personnel officer knows that the instructions of the supplier in addition to rights and duties contain a list of different types of responsibility. In such work, often there are times when a person must decide on his own, considering only his decency and moral principles.

For example, the supplier offers to give the goods at an overpriced price, and as compensation to pay the supplier a certain amount of cash. In this case, a positive response will lead to a surplus of finance for the enterprise, and for the employee there will be a solid unplanned increase in wages. The only question is whether the employee will do it. If so, it will violate its duties, which clearly reflect the direction of the activity. In the section "Responsibility" it is said that for all the violations committed, the supplier will have to answer by law. Here, decency is manifested, and therefore, the correspondence of the very position that he occupies. Well, if for the rest of the work this last part of the instruction does not touch it.
