Filling the T-2 card: a sample. Employee's personal card

The terms of reference of the HR officer include the completion of the T-2 card. A sample form and correct input of necessary information into it are mandatory conditions for proper record keeping.

Rules of registration of employees

The recruitment of employees, as a rule, is accompanied by the compilation of a certain package of documents. This is necessary for the most complete and comprehensive accounting of personnel. The filling of the T-2 card (sample can be seen below) is made immediately after the head of the enterprise signs the order for the employment of this employee.

It is better to do this without delay, so that at the right time all the necessary information is available. The filling of the T-2 card (a sample is in the article) is mandatory for all newcomers, regardless of position, profession and category. For the reliability of the information entered, the employee of the personnel department who directly performs the clearance process is responsible. All data should be taken only from reliable sources and documented. When filling out the relevant sections, it is desirable to avoid errors, so that later there is no need to make any corrections or adjustments.

Information sources

The filling of the T-2 card, a sample of which is given in the article, is made on the basis of the compulsory package of documents that the new employee represents when hiring. The personnel records can be entered only if there are:

  • Passport (or any other document that can verify the identity of a person);
  • Military ticket (only for men);
  • employment history;
  • A document certifying the graduation of the school;
  • Other documents confirming the availability of qualifications or special knowledge;
  • Certificate of state pension insurance.

In addition, for registration you will need:

  • autobiography;
  • The order of acceptance to work);
  • Contract (labor).

Given the internal regulations and the specifics of the company's work, the employer has the right to request from the citizen other documents. This can be a medical certificate or information about the presence (or absence) of a criminal record. In any case, the need to provide the requested information must be confirmed by laws, decrees or resolutions of the relevant bodies of the Russian government.

Approved form

At present, a personal T-2 card is used on the territory of our country, the form of which is approved by the Decree No. 1 of the State Statistics Committee of January 5, 2004.

This form contains ten mandatory sections, which fully reflect all the information about the employee:

  1. General information.
  2. Data on military registration.
  3. Information on hiring and various translations.
  4. Data on the attestation.
  5. Information about professional development.
  6. Information about the awards received during the work and promotions.
  7. Information about the holidays.
  8. Social benefits provided to the employee.
  9. Additional information.

Thanks to all this information, the personal T-2 card is an ideal accounting tool. It has everything you need to know about the employee. And in each of the sections of this document are constantly made the necessary additions. Thus, at the right time, the management of the enterprise, without raising a personal matter, has the opportunity to obtain about the employee any necessary information.

Compliance with legality

T-2 - personal card of the employee, in which all information about him is entered in a certain order. After filling out the initial data, which are placed in the first two sections, the employee of the personnel service must confirm with his personal signature their validity. The same is required for a hired employee.

Personnel, in turn, should monitor the availability of necessary signatures. Otherwise, his inattention can be regarded as a gross violation of the law. For this careless employee will have to answer not only to the management of the enterprise. Such actions fall under Article 5.27 of the Code of Administrative Offenses of Russia and threaten the culprit with a fine. In addition, it must be remembered that the T-2 (employee's personal card) is a document that duplicates the information about the employee that is entered in the work book. And on the basis of clause 12 of the Government Decision no.225 of 16.04.2003 the citizen should personally familiarize himself with this information. Confirmation of this fact will be his signature on the card.

Correcting the data

Particular attention should be paid to making changes to the T-2 card. Here the employee of the personnel department should be extremely attentive.

To introduce legal changes (change of last name or place of residence) there is a certain technique, consisting of three steps:

  1. First, a human resources officer must request the original document, on the basis of which he will have to make an adjustment, make it a photocopy and put it into a personal file.
  2. Cross out the initial information with one line and record a new one.
  3. Next to him, you need to write the phrase "Corrected believe", then indicate your position, and also put a personal signature with its full interpretation.

If it is an error, then the actions of the culprit are limited only by the introduction of reliable information. Wrong data in this case you just have to cross out. It is desirable that such situations arise as little as possible, since multiple errors are considered by control authorities as a malicious violation. The punishment for such an offense will be more severe.

Electronic variant

To simplify their work, the personnel department maintains a card file. With its help, he can at any time find the right information about each of those who work at this enterprise. To do this, he must first fill out the T-2 card form. With the development of technology in many enterprises, responsible employees prefer to keep electronic records. This makes it possible to greatly simplify the time of search.

Such actions are not considered a violation. Everyone is free to do as he pleases. True, in addition to the electronic database, the HR staff will have to compile a regular document, transferring information to paper medium. Such a requirement is quite fair, given the need for a signature of the employee himself. Put it in the computer, he can not. That is why a paper version of the document should also be present. In addition, do not forget that this information should be kept at the enterprise for 75 years. With electronic media, the search for necessary data will constantly cause certain difficulties.

Fineness of filling the form

Any staff member knows how to fill a personal T-2 card. In principle, the work is not difficult. It is only necessary to transfer the information from the relevant source to the form clearly.

When drawing up such a document, you need to remember some important points:

  1. If the employee combines different professions, occupying two posts at once, then it is necessary to have 2 cards for him.
  2. In some cases, there is a need to use abbreviations. It is not forbidden to do this. It is necessary only to adhere to generally accepted requirements.
  3. In Section Y, when teaching an employee at the expense of the employer's funds, this fact must be indicated. Such information can subsequently serve as a basis for demanding the return of funds spent by the enterprise.
  4. In no case should the employee be allowed to fill the card himself. An exception can only be the case when a hired man recruits.

Otherwise, the process of filling the card is a normal mechanical operation. With the right approach to the matter, it should not cause any complications.
